2. Our services
We provide residential property management, block management and flexible property support. The exact services provided will depend on the agreed proposal or written instructions. Services may include tenant or resident communication, maintenance coordination, contractor communication, property visits, administration, reporting, rent collection support or other agreed support.
3. Proposals and instructions
Any proposal or quotation we provide will be based on the information available to us at the time. Services will only begin once the scope of work, fees and responsibilities have been agreed. If additional work is requested or required, this may be quoted separately.
4. Client responsibilities
• Providing accurate and complete property information • Confirming ownership, authority or permission to instruct us • Providing access details, relevant documents and key contacts • Responding to requests for approval where needed • Meeting legal, safety, licensing, insurance and financial obligations relating to the property • Paying agreed fees and approved costs on time
5. Fees and payment
Fees will be agreed upon before services begin. Fees may be based on the service level, property type, number of units, management responsibilities, time required or specific support requested. Payment terms will be set out in the proposal, invoice or service agreement.
6. Maintenance and contractors
Where maintenance coordination is included, we may communicate with contractors, arrange access, request estimates and coordinate works as agreed. Unless stated otherwise, contractors remain responsible for the quality, safety and completion of their own work. Client approval may be required before costs are incurred, except where urgent action is reasonably needed to protect the property, safety or security.
7. Access, keys and property information
Where keys, codes or access details are provided, they will be handled with reasonable care and used only for agreed property management purposes. Clients must ensure we are informed promptly of any changes to access arrangements, alarms, tenants, residents or property risks.
8. Client money
Where any service involves the handling of client money, the appropriate arrangements, permissions and protections must be confirmed in writing. If client money is not held by Snow White Property Management, the relevant payment and collection arrangements should be clearly documented between the parties involved.
9. Compliance and legal obligations
We may assist with reminders, coordination or administration relating to property compliance where agreed, but ultimate legal responsibility for the property will usually remain with the landlord, freeholder, client or responsible party unless otherwise confirmed in writing.
10. Limitations
We aim to provide services with reasonable care and skill. However, we cannot guarantee the performance of third-party contractors, the behaviour of tenants or residents, market conditions, legal outcomes, insurance decisions or matters outside our reasonable control.
11. Complaints and redress
We aim to resolve concerns promptly and professionally. Complaints should be sent to info@swpmanagement.co.uk with details of the issue. Snow White Property Management is a member of the Property Redress Scheme. PRS membership number: PRS059032.
12. Data protection
We process personal information in line with our Privacy Policy. Clients, tenants, residents, leaseholders and contractors should refer to the Privacy Policy for details of how personal information is handled.
13. Ending services
Termination rights, notice periods and final account arrangements will be set out in the relevant proposal, agreement or written instructions. Any outstanding fees, approved costs or completed work remain payable.
14. Changes to these terms
We may update these Terms of Business from time to time. The latest version will be published on our website.
15. Governing law
These terms are governed by the laws of England and Wales, unless otherwise agreed in writing.
